Talentrenza uses professional and recruitment information to provide the Platform. Protected contact details and CV files are subject to access controls rather than being treated as unrestricted public search data.

1. About this Privacy Policy

This Privacy Policy explains how Talentrenza handles personal information when you use our websites, candidate and employer accounts, talent discovery, vacancies, applications, recruitment workflows, communications and related services (the “Platform”). It applies to candidates, employers, recruiters, hiring-team users, website visitors and other individuals who interact with Talentrenza.

Talentrenza seeks to process personal information lawfully, fairly, transparently and only for legitimate purposes connected with operating and improving the Platform.

2. Information we collect

Depending on how you use Talentrenza, we may collect account and identity information such as your name, email address, telephone number and login details; professional information such as employment history, education, skills, qualifications, professional memberships, target roles, location preferences and salary or career preferences; CVs and other files you choose to upload; and employer or organisation information.

We may also process vacancies, applications, screening information, interview and recruitment activity, messages, offers, onboarding activity, subscription and transaction records, support requests, consent records, security events and technical information generated when the Platform is used.

3. Information from other sources

We may receive information from employers, recruiters, hiring-team members, service providers or integrations when this is necessary to provide a feature you use. Where a user submits information about another person, that user is responsible for having an appropriate basis to do so.

4. How we use personal information

We use personal information to create and administer accounts; build and display professional profiles; provide job and talent discovery; enable applications and recruitment workflows; facilitate communications; operate subscriptions and entitlements; secure the Platform; prevent fraud and abuse; provide support; maintain records; analyse and improve service quality; and comply with legal obligations.

We may also use professional information to organise search results and make relevant candidate or opportunity recommendations. Such tools support, rather than replace, human recruitment decisions.

5. Legal bases and permitted processing

Depending on the context and applicable law, processing may be necessary to perform our agreement with you, to comply with legal obligations, for legitimate interests such as providing a secure and effective recruitment platform, or on the basis of your consent where consent is required. Where we rely on consent, you may withdraw it for future processing, subject to legal or operational requirements that permit continued processing on another basis.

6. Candidate profile visibility

Talentrenza is designed to make relevant professional information discoverable while protecting information that should not be openly exposed. Profile visibility depends on the Platform feature, your settings where available, and employer or recruiter access rules.

Telephone numbers, personal email addresses, CV files, professional membership numbers and other protected information are not treated as unrestricted public search data. Access may require an authorised account, an entitlement, a recruitment relationship or another Platform condition.

7. Employers and recruiters

Authorised employers and recruiters may access professional profile information for legitimate recruitment purposes according to Platform rules and candidate visibility controls. They must handle candidate information responsibly and in accordance with applicable privacy and data-protection law.

Once an employer independently obtains or exports information lawfully made available through Talentrenza, that employer may have separate responsibilities for its subsequent processing.

8. Applications and recruitment activity

When you apply for a vacancy or otherwise engage with an employer, relevant application information may be shared with that employer and authorised members of its hiring team. Recruitment records may include application status, screening decisions, interview activity, messages, notes, offers and related workflow information.

9. Sharing and disclosures

We may share information with authorised employers and recruiters as described above; vendors that provide hosting, storage, communications, security, analytics, payment or other infrastructure; professional advisers where necessary; and public authorities or other parties where disclosure is required by law or reasonably necessary to protect rights, safety, security or Platform integrity.

Service providers are expected to process information only for authorised purposes and subject to appropriate safeguards. Talentrenza does not sell candidate contact information as an unrestricted data list.

10. Payments and subscriptions

Where paid services are used, Talentrenza may process billing status, plan, transaction references and related records. Payment-card or banking details may be processed directly by payment providers rather than stored by Talentrenza, depending on the payment method offered.

11. Cookies, logs and analytics

Talentrenza may use cookies, local storage, server logs and similar technologies that are necessary for authentication, security, preferences and service operation. We may also use privacy-conscious analytics to understand feature usage, performance and content engagement. Where applicable law requires consent for non-essential technologies, appropriate choices will be provided.

12. Security

We use technical and organisational measures intended to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. Measures may include access controls, authentication, encryption in transit, logging, environment separation, backups and security monitoring where appropriate.

No online system can be guaranteed completely secure. Users should protect their credentials, use secure devices and promptly report suspected account compromise.

13. Data retention

We retain personal information for as long as reasonably necessary for the purposes described in this Policy, including providing active accounts and recruitment services, maintaining security and audit records, resolving disputes, enforcing agreements and meeting legal, tax or regulatory requirements. Retention periods may differ by data type and context.

When information is no longer required, we may delete, anonymise or securely isolate it in accordance with applicable requirements and backup cycles.

14. International processing

Technology providers and users may operate in different countries. Where personal information is transferred across borders, Talentrenza will use safeguards required by applicable law and take reasonable steps to ensure that service providers protect the information appropriately.

15. Your privacy rights

Subject to applicable law and relevant exemptions, you may have rights to request access to personal information about you, correction of inaccurate information, deletion, restriction or objection to certain processing, portability of information, and withdrawal of consent. You may also have the right to complain to an appropriate data-protection authority.

We may need to verify your identity before acting on a request. Some information may need to be retained where required by law, for security, fraud prevention, dispute resolution or other legitimate grounds.

16. Profile and communication choices

You can update information through available account and profile controls. Where visibility, notification or communication preferences are offered, you may adjust them through the relevant settings. Operational and security communications may still be sent when necessary to provide or protect your account.

17. Children

Talentrenza is a professional recruitment platform and is not intended for children who cannot lawfully consent to or enter into the relevant service relationship in their jurisdiction. If we learn that personal information has been provided contrary to applicable age requirements, we may restrict the account and take appropriate steps regarding the information.

18. Automated tools and human decisions

Talentrenza may use automated tools to assist search, relevance, recommendations, fraud detection and workflow organisation. Employers and recruiters remain responsible for their hiring decisions. Where applicable law grants rights concerning solely automated decisions with significant effects, Talentrenza will honour those rights where the relevant processing is performed by Talentrenza.

19. Changes to this Policy

We may update this Privacy Policy to reflect changes in law, technology, security or Platform features. The current effective and last-updated dates will appear at the top of this page. We will provide additional notice where a material change or applicable law requires it.
